How It Works
How a HIPAA IT Engagement Runs
HIPAA compliance is not a product we install once. It is the same assess, remediate, and maintain cycle we use for every compliance framework, applied to the systems that hold patient data. A typical engagement for a Massachusetts practice runs in five steps.
Risk Analysis
We map where PHI enters, lives, and leaves the practice: the EHR or practice-management system, imaging, email, billing, laptops, phones, and every vendor that touches patient data. The written risk analysis the Security Rule requires comes out of this step.
Safeguards
We implement the technical safeguards on the gap list: unique logins and MFA, role-based access, full-disk encryption, audit logging, managed endpoint protection, firewall and patching, and encrypted backups with tested restores.
Business Associate Agreements
We inventory every vendor that handles PHI, from the cloud email tenant to the backup service and the IT provider, confirm a BAA is in place for each, and keep the list current as tools change.
Staff Training
Short, practical sessions on phishing, passwords, handling records on mobile devices, and what to do when something looks wrong, with attendance records kept for your file.
Annual Review
Under managed IT the safeguards keep running, and each year we refresh the risk analysis, re-check the BAA list, re-run training, and update the policies so the file stays current.
Steps one and two are a project with a written gap list and a quote. Steps three through five run under your managed IT agreement, because the safeguards only count if they are still true when a reviewer, an insurer, or a patient asks. We are not a HIPAA auditor and do not issue certifications; our job is to make sure the controls work and the documentation is already in the file when someone asks for it.

Related Obligations
HIPAA Is Not Your Only Obligation
A practice with Massachusetts patients or employees also falls under 201 CMR 17.00, the state regulation that requires a Written Information Security Program (WISP) from any business that owns or licenses personal information about a Massachusetts resident. Payroll files, HR records and patient billing all qualify.
The two frameworks overlap heavily. The HIPAA Security Rule risk analysis and the 17.03 risk assessment can share one workpaper, and the 17.04 computer-system controls (secure authentication, access control, encryption in transit and on portable devices, monitoring, firewalls and patching, malware protection, training) are the same technical safeguards listed above. We build them once and document them for both.
- Massachusetts WISP (201 CMR 17.00): the state baseline nearly every employer needs.
- PCI DSS: if the front desk takes card payments, the payment network needs its own controls.
- CMMC: only if you also hold Department of Defense contracts.

Where We Work
HIPAA IT Support in Boston, the South Shore and Cape Cod
HIPAA work is mostly configuration, documentation, and training, so it is delivered the same way everywhere we go. What changes is the shape of the practice. Around the Hyannis hospital campus in Barnstable, and in Falmouth, the Cape's medical offices run with seasonal staffing swings that make account provisioning and offboarding the recurring risk. In the Brockton and Weymouth hospital communities, specialty clinics and dental groups share buildings, networks, and sometimes imaging systems, so segmentation and access control carry more of the load. In Dedham, Quincy, Hingham, and the Boston-area suburbs, the practices tend to be multi-provider offices with a practice-management vendor, a billing service, and a cloud email tenant, which puts the Business Associate Agreement inventory at the front of the list.
We come on-site from 24 Samoset St in Plymouth. Our managed IT for Boston and the South Shore and managed IT for Cape Cod pages describe how the on-site side works; the HIPAA safeguards run under those agreements.

FAQ
HIPAA Compliant IT Services FAQ
What is HIPAA and who needs to comply?
HIPAA (Health Insurance Portability and Accountability Act) requires any organization that handles Protected Health Information (PHI) to implement specific security safeguards. This includes healthcare providers, health plans, clearinghouses, and their business associates, including IT companies, billing services, and cloud providers.
What are the HIPAA IT requirements?
The HIPAA Security Rule requires administrative, physical, and technical safeguards including: access controls, audit logging, encryption of PHI at rest and in transit, automatic logoff, unique user identification, backup and disaster recovery, and a documented risk analysis.
Do I need a HIPAA risk assessment?
Yes. The Security Rule requires a documented risk analysis of the systems that hold or transmit PHI, kept current as your practice, software, and vendors change. It is the first thing a reviewer asks for and the piece most small practices are missing. We run the risk analysis, write it up, and refresh it with you each year.
What happens if my practice isn't HIPAA compliant?
HIPAA is enforced by the HHS Office for Civil Rights, and the consequences scale with how serious and how long-standing the gap was: corrective action plans, civil penalties, and after a breach the cost of notifying patients and the loss of their trust. Massachusetts adds its own breach notification duties under M.G.L. c. 93H. The practical answer is that a documented risk analysis and working safeguards are far cheaper than any of that.
Can I use cloud services and be HIPAA compliant?
Yes, but you need a Business Associate Agreement (BAA) with every cloud vendor that handles PHI. We help you select HIPAA-compliant cloud services and ensure proper BAAs are in place for Microsoft 365, cloud backup, and other tools.
How does Power Up Boston help with HIPAA?
We provide end-to-end HIPAA IT compliance: risk analysis, encryption deployment, access control configuration, audit logging, backup systems, BAA tracking, employee training, and ongoing monitoring under managed IT. We serve medical practices, dental offices, and specialty clinics across Massachusetts from our Plymouth office: the South Shore, Greater Boston, and Cape Cod.
Do you provide HIPAA compliant IT services outside the South Shore?
Yes. The compliance work is configuration, documentation, and training, so it is delivered the same way everywhere in Massachusetts. On-site visits run from Plymouth to practices around the Hyannis hospital campus on Cape Cod, the Brockton and Weymouth hospital communities, and Quincy, Dedham, and Boston-area offices.
